Volunteer Committee
Responsibilities
The Volunteer Committee is responsible for every single aspect of volunteering: volunteer recognition, volunteer recruitment, site hosting, volunteer tracking (Habitrak), partner family liaison, & special events.
Volunteer Committee Chair:
Job Description : Ultimately accountable for ensuring that all responsibilities of Volunteer Committee Teams are accomplished with flying colors. Will work closely with Staff Volunteer Coordinators to assess issues/concerns/needs/events. Will lead monthly committee meetings regarding upcoming issues/concerns/needs/events.
Skills Required : Well-rounded individual with skills and talents in leadership, organization, communication, public speaking, computers, team building, self-direction, and creative vision. We have the opportunity to mold and expand this committee to be the most encompassing and efficient component of Habitat. In fact, our success is bound to this very goal.
Volunteer Recognition Team:
Job Description : Responsible for writing “Thank you” letters to all volunteers. This includes weekday and weekend build days, office volunteers, ReStore volunteers, all donors who give food/drink to build days for volunteers and any other occasions that arise.
Skills Required : Ability to create prompt, unique, well-written, sincere letters of recognition with a personal touch that make volunteers feel special and appreciated. It takes approximately SEVEN thank-yous before a person feels appreciated for their work.
Volunteer Recruitment Team:
Job Description : Responsible for seeking out churches, groups, and organizations to give presentations regarding the different opportunities to volunteer with Harbor Habitat (always be prepared with Volunteer Skills Survey). Responsible for following-up with interested individuals and working with the Volunteer Coordinators to get them plugged into Harbor Habitat.
Skills Required : Flexible schedule to be able to accommodate groups/organization's particular schedules/meetings. Knowledge of Harbor Habitat and Habitat for Humanity International. Strong public speaking skills.
Preferred : Individuals who know an extensive network of diverse groups/organizations in this community.
Site Hosting Team:
Job Description : Responsible for coordinating orientation and meals for all Saturday build days. This includes: arrange and set up breakfast (coffee/juice/donuts by 7:45am), lunch (subs, pizza, pop by 11:45am), water (for all build days); serve as site host/hostess from 7:45am-1pm on all weekend build days; schedule someone from Habitat staff or board to lead introductions & icebreaker (generally a Volunteer Coordinator), Habitat Moment (Board member), and devotional (HHH President, Executive Director or local minister).
Skills Required : Comfortable asking for donations of food and drink from groceries, churches, and restaurants in the area. Well-organized and dependable- we always need to have enough nourishment and it needs to be there on time.
Preferred : Cheerful, morning people. If you want to be there then the volunteers will want to be there and will want to be around you. You are the person everybody loves- warm, friendly, and you bring food!
Additional Info : Any money spent on food, drinks and water is included in the price of the house and the partner family ends up paying for it in their mortgage payments. The more food and water that we get donated (either by restaurants, groceries, or church groups/organizations) the cheaper the mortgage will be for our partner family. Best-case scenario is that we get every morsel of food and every drop of water donated.
Volunteer Tracking Team: Team Lead- Mary Singleton
Job Description : Enter all volunteer contact information, skills/interests, and hours into Habitrak. This includes weekday and weekend volunteers, office & ReStore volunteers, donors/donations. Ensure that Habitrak information is accurate and updated. Input volunteers in an organized and complete manner so detailed and specific reports can be extracted from Habitrak.
Skills Required : Basic knowledge/familiarity with computer programs. Ability and desire to learn how to utilize the Habitrak program. Able to come into Habitat office during office hours to enter data.
Partner Family Liaison Team:
Job Description : Works directly with family services and partner families to offer volunteer opportunities, include partner families in all volunteer events, schedule partner families to give testimonials and presentations with the Volunteer Recruitment Team, and be the liaison between the partner families and Site Hosting Team so they can be included in counts for breakfast, lunch, and notifications of build-day cancellations or modifications.
Skills Required : Strong organization and communication skills. Ability and desire to stay in the loop with family services' needs and events and to stay connected with partner families.
Special Events Team:
Job Description : Responsible for coordinating two annual volunteer appreciation events, including, “End of the year celebration” (beginning of December) and “In the thick of it Picnic” (sometime in August). Responsible for organizing venue, food/drink, decorations, invitations, programs, awards, raffle, keynote speaker and volunteer gifts. Also responsible for design, printing and distribution of t-shirts made for each house- paid for by house sponsors and distributed to all volunteers who work on the house.
Skills Required : Strong planning and organization skills. Experience planning large events/functions. Creative powers to make the events special and the t-shirts unique and attractive.
